Introduction

The Bulk Agent Import tool is designed for FMOs and Agency Administrators who need to onboard large teams quickly. By using a standardized Excel template, you can invite hundreds of agents to specific downline agencies in a single action.

Instructions

Phase 1: File Preparation

  1. Navigate to Agency Management on the left-hand menu.


  2. Click the + Import button in the top-right corner.


  3. Select + Add Bulk Agent Import.


  4. Download Template: Click Sample bulk agent file to download the official Excel template.


  5. Data Entry: Open the file and fill out the required columns:

    • First Name & Last Name

    • NPN (National Producer Number)

    • Email (Unique for each agent)

    • SSN (Social Security Number)

    • Phone Number & Country Code (e.g., 1 for USA)

QuotePro Tip: Do not delete or rename the headers in the Excel file. The system relies on these exact titles to map the data correctly.



Phase 2: Upload and Verification

  1. Select Agency: On the platform, choose the specific agency these agents will be assigned to.


  2. Upload File: Click Select files... and choose your saved Excel sheet.


  3. Initiate: Click Bulk Agent Import, then click the final Import button.


  4. Monitor Progress: * Click the three vertical dots (⋮) on the import row.

    • Select View to see the real-time status of the import


  5. Completion: Once the progress bar reaches 100%, the agents are added and automated invitation emails are sent.

Troubleshooting/Tips

  • Duplicate Emails: If an agent is already in the system with that email address, the row will fail. Each agent must have a unique email.

  • Formatting Phone Numbers: Ensure phone numbers are entered as digits only (no dashes or parentheses) to avoid import errors.

  • NPN Validation: The system checks NPN formats. Ensure there are no typos, as an invalid NPN will cause the specific agent record to be rejected.

FAQ

1. Can I import agents into different agencies using one file?

No. Each bulk import session is tied to the single agency you select in Step 7. If you have agents for multiple sub-agencies, you must run a separate import for each agency.

2. What happens if the import "fails"? 

If an import fails, click View (Step 10). The system will usually provide an error report highlighting which rows had issues (e.g., "Missing SSN" or "Invalid Email Format"). You can fix those specific rows and re-upload.

3. Do agents get notified immediately? 

Yes. As soon as the import process completes, the system automatically triggers the "Account Setup" invitation email to every agent in the file.

4. Can I leave the SSN field blank? 

No. The SSN is a required field for identity verification and NIPR synchronization. The import will reject rows with missing SSNs.
